The Right Office Cleaning Schedule: Daily, Weekly, and Quarterly Tasks

Most office cleaning complaints trace back to one missing document: a schedule. Without one, "cleaning" means whatever the cleaner had time for. With one, every task has a frequency and every miss is visible. Here is the template we use when we design contracts for Port Harcourt offices.

Daily (every working day)

  • Empty all bins and replace liners
  • Sweep or vacuum all floors; mop hard floors
  • Wipe desks, counters, and meeting tables (papers left in place)
  • Clean and sanitise toilets, sinks, and taps

  • Clean the kitchen or break area: sink, counters, microwave exterior
  • Spot-clean entrance glass and reception surfaces

Weekly

  • Dust all reachable surfaces: shelves, ledges, window sills, skirtings

  • Descale toilets and urinals properly
  • Clean bin stations and disinfect lids
  • Vacuum upholstered chairs and sofas

Monthly

  • High dusting: vents, ceiling corners, tops of cabinets and partitions
  • Clean interior windows fully, including frames and tracks
  • Machine-buff or deep-mop hard floors
  • Clean fridge interior (with staff notice)
  • Wipe down doors, frames, and switch plates building-wide

Quarterly

  • Carpet and upholstery deep extraction
  • External window cleaning (where access allows)
  • Wall spot-washing and scuff removal
  • Furniture moved and cleaned behind
  • Storage areas cleared, cleaned, and re-organised
  • Optional: fumigation and pest-control treatment

Making it stick

Three rules turn this template into results:

  1. Put frequencies in the contract. "Keep the office clean" is not a scope. This list is.
  2. Name a supervisor. One person on the contractor's side owns quality and answers a single point of contact on yours.
